eCopy simplifies document capture

Now supports wider range of scanners and MFDs

Document capture vendor eCopy is opening up its product line to enable firms to use a more diverse range of scanners and multi-function devices (MFDs) in document workflow processes.

eCopy has traditionally focussed on software embedded in high-end multi-function devices, but has now released a portfolio that works with a broader range of equipment. The line-up consists of eCopy Desktop for individuals, eCopy ShareScan Essentials for workgroups, and eCopy ShareScan Suite for organisations needing a greater level of customisation and integration with enterprise applications.

Alan Cornwell, eCopy European General Manager, said that a lot of organisations are implementing electronic workflows, but that as much as 30 percent of information in organisations is still paper-based.

"You need to capture this information as soon as possible, at the point where it comes into the organisation, so you can scan the document right into your electronic workflow," he said.

Firms have the problem that there is a bewildering array of MFDs and scanners, and some departmental devices have an intimidating array of options. By contrast, eCopy's software has a user interface that is much simpler to use, Cornwell said, yet can integrate with enterprise applications and document workflow processes through optional connectors, opening up a document services layer.

"It's all very well scanning in, but you often want to know what to do with the results. An invoice will be processed differently to an expense claim," he said. eCopy can direct the scanned document towards the relevant electronic workflow, depending upon what the content is, he added.

Using eCopy also aids compliance, since users have to authenticate themselves before they can scan a document, which leaves an audit trail.

"IT directors see existing [standalone] scanners as rogue products, because there's no security," Cornwell said, as a document could come onto the system from anywhere. IT managers also gain a single admin view across all document scanning devices through eCopy's tools.

The new eCopy portfolio is shipping to the channel today, with customer availability expected of the products expected from early April. eCopy ShareScan Essentials costs about £1,500, while the eCopy ShareScan Suite pricing starts at £2,355.
