Housing body opens door to archived email

System helps housing association deal with large volumes of email

Written by Tom Young

Thames Valley Housing Association has overhauled its email archiving system to improve communication and cope with rising volumes of email traffic.

The system, from vendor C2C, is installed on 250 mailboxes across the Association’s three sites in London and Middlesex.

Adriaan Wepener, Thames Valley Housing Association’s IT technical support engineer, says the firm’s former email exchange store was becoming too big.

‘We receive 30,000 to 40,000 emails a week and the developers send us lots of attachments that used to cause problems with storage and the servers,’ he said.

‘The amount of mail is increasing by about 200 per cent a year, so we needed to do something.’

The archiving system has reduced the Microsoft Exchange store from 90GB to 15GB, making accessing and managing email content easier.

‘The system also allows people to open archived mail as if it was in their inbox,’ said Wepener.

‘We didn’t want to archive personal storage files as we wanted visibility of the archived email. It has already given us huge benefits by reducing both costs and operational headaches.’
