Law firm reduces email storage requirements

Mills & Reeve cuts mailbox storage requirements by half

Written by Lara Williams

Law firm Mills & Reeve has cut its mailbox storage requirements by half after implementing a new email archiving system.

Mailbox storage requirements were reduced by 40 to 50 per cent three months after roll out of the enterprise archiving product provided by Zantaz.

The system allows the law firm to create an efficient, searchable archive of email messages helping the company to mitigate risk, improve service levels and meet compliance obligations including those set out in the Law Society’s email guidelines.

‘The business drivers for this implementation were three-fold, we needed a more effective means of supporting our data retention and compliance obligations, support for our own internal knowledge management initiatives and to reduce the risk associated with the amount of our data that is captured and held in emails,’ said Graeme Low, head of information systems at Mills & Reeve.

Benefits that Low expects to see include compliance with the Law Society’s rules and guidelines on electronic data and email retention as well as increased efficiencies as a centrally managed, comprehensive document and data store reduces the time and costs associated with electronic data handling and disclosure.
