Fleet management firm Custom Fleet is using a document imaging system to speed up its administrative processes.
The company is using the Version One-supplied system to help it store essential documentation for the vehicles it manages on behalf of its clients.
Karen Petry, Custom Fleet's manager of quality and administration, says the firm has to keep records on the 18,000 vehicles it manages, and for up to 10 years after they are taken out of service.
'By bringing in the DbArchive system and electronically imaging all new vehicle information going forward, we are improving efficiency, speeding up information retrieval, reducing costs and freeing up space,' she said.
The paper scanning system will also speed up staff searches for and retrieval of relevant documents, by organising all the scanned paperwork in conjunction with the company's existing fleet management systems.
The response of employees to the new system has been very positive, Petry says.
'We have completed the implementation of phase one over the last three months with a further three phases to go, and have received very positive feedback from all internal users,' she said.
