Moto moves to electronic invoicing

Software cust cost of paper processes

Motorway services operator Moto is implementing electronic invoicing software to eliminate the paper processing of thousands of invoices each week.

Moto installed the technology to enable communication with suppliers after its 48 outlets separated from parent company the Compass Group in June.

It will use Freeway Commerce’s Spectrum 3 electronic data interchange (EDI) to process invoices and manage the migration of suppliers to connect directly with Moto’s enterprise resource planning (ERP) system.

Moto IT director Guy Latchem says the company has more than 20 key suppliers.

‘Customer service is our business and it is vital that our operations can support this with the efficient transfer of electronic data,’ he said.

‘As we changed to new systems, we quickly identified the need to provide an EDI service to our suppliers that could not connect to our ERP systems.’

Latchem says integrating the electronic invoicing software with its ERP system will improve efficiency and reduce costs.

Moto is also considering introducing an online web portal for its smaller local suppliers.

Butler Group analyst Mark Blowers says EDI offers significant benefits by eliminating paper processes and the associated reduction in administration burdens and overheads.

‘Connecting directly to Moto’s ERP system will streamline its back-end processes and automate the matching of purchase orders to invoices,’ he said.

‘The introduction of an online portal or web access would also allow small suppliers to communicate, which is important as they can often be left behind when moving to EDI.’
